JobShinobi is a job application tracker for new grads who are applying to lots of roles and need a system that doesn’t collapse into messy spreadsheets, lost tabs, and forgotten follow-ups. You can add/edit/delete applications, track status changes (Applied → Interview → Offer/Rejected), see quick pipeline stats, and export everything to Excel (.xlsx).
If you’re a Pro member, JobShinobi adds a workflow that’s built for high-volume job searches: forward job-related emails to your unique JobShinobi forwarding address, and JobShinobi can create or update job applications based on what it extracts from the email (company, job title, status, and more). You’ll also see a Processing Email indicator while the system is working.

Why Choose JobShinobi as Your Job Application Tracker for New Grads?
New grad job searches are different: you’re often applying broadly, moving quickly, and learning the process while you do it. The problem isn’t motivation—it’s coordination.
JobShinobi is designed to help you:
- See your pipeline clearly (applications, interviews, offers, companies)
- Update statuses quickly so you always know what stage you’re in
- Keep records you can share (Excel export for mentors/career services)
- Reduce manual tracking by using email-forwarding automation (Pro)
- Measure results with built-in analytics (response rate, offer rate, interview conversion, monthly trends)
Built for “I applied to 70 roles and now I can’t remember where I’m at”
A new grad job search can move fast and feel random. The tracker gives you a consistent place to answer:
- Where have I applied?
- Who’s interviewing me?
- How many offers do I have (or how close am I)?
- Is my response rate improving or flat?
Your tracker updates in realtime
JobShinobi’s Job Application Tracker updates in realtime, so changes show up immediately in your dashboard as you add or update applications.
How JobShinobi’s Job Application Tracker Works
Step 1: Sign in and open your job tracker
- Sign in: /login
- Open your tracker: /dashboard/job-tracker
You’ll see your Job Application Tracker table with key fields like Job Title, Company, Status, and Date Applied, plus quick stats (Total Applications, Interviews, Offers, Companies).
Step 2: Add applications (manual tracking that stays fast)
Click Add Application and enter:
- Job title
- Company
- Status (defaults to Applied)
Later, you can:
- Edit an application (job title, company, status)
- Delete an application you don’t want tracked anymore
Step 3: (Pro) Forward job emails to automatically create/update applications
If you’re a Pro member, you’ll have a unique forwarding email address in Settings. You can forward emails like:
- “Thanks for applying…”
- “We’d like to schedule an interview…”
- “We’re pleased to offer…”
- “We’ve decided to move forward with other candidates…”
JobShinobi processes the forwarded email and attempts to extract structured details, including:
- Company
- Job title
- Status (Applied / Interview / Offer / Rejected / Other)
- Optional fields like location, salary, job URL, and additional info when present
To reduce duplicates, JobShinobi also uses fuzzy matching (company-weighted) to decide whether to update an existing application or create a new one.
You’ll see a Processing Email card in your tracker when processing is in progress.
Step 4: Export your job application tracker to Excel (.xlsx)
When you want a copy outside the app, click Export to download an Excel (.xlsx) file of your tracked applications.
This is helpful when you want to:
- Share your progress with a mentor, friend, or career advisor
- Keep a personal backup
- Analyze your job search offline
Step 5: Check your analytics (and adjust your strategy)
Open your analytics dashboard: /dashboard/analytics
JobShinobi calculates key job search metrics from your tracked applications, including:
- Response rate (interviews + offers ÷ total applications)
- Offer rate (offers ÷ total applications)
- Interview conversion (offers ÷ interviews)
- Monthly application trends (last ~6 months)
Note: average response time is currently shown as a placeholder metric in the dashboard.

What to Track as a New Grad (So Your Tracker Actually Helps)
Most new grads don’t need a complicated CRM—they need the few fields that make decisions easier. JobShinobi focuses on the essentials while still supporting richer details through email parsing when available.
Minimum fields you should keep consistent
- Company
- Role / Job Title
- Status
- Date applied
- Notes (optional)
Status consistency matters more than perfection
The biggest job-tracking mistake isn’t missing a salary field—it’s inconsistent statuses. If you keep statuses clean (Applied / Interview / Offer / Rejected), you can actually learn from your pipeline using analytics.
JobShinobi vs. Spreadsheet / Notion Template (For New Grad Job Searches)
Spreadsheets and templates are a good starting point, but new grad searches often turn into high-volume workflows quickly.
Spreadsheet/template pros
- Easy to start
- Flexible columns
- Shareable
Spreadsheet/template limitations (the “it worked until it didn’t” moment)
- Manual updating gets painful at scale
- Status changes become inconsistent over time
- It’s easy to miss follow-ups because the tracker isn’t part of your daily workflow
- Your tracker and inbox can drift out of sync
Why JobShinobi is a better long-term system
- A dedicated Job Application Tracker UI built for quick updates
- Realtime updates
- One-click Excel export
- (Pro) Email forwarding + parsing to help you log and update applications from job-related emails—without relying on a spreadsheet habit staying perfect for months
Job Application Tracker for New Grads vs. “Auto-Save From Browser Extensions”
Some job trackers emphasize browser extensions that “save” jobs/applications from job boards. JobShinobi takes a different approach: your inbox is often the most reliable source of truth after you apply (confirmations, interview scheduling, rejections, offers).
JobShinobi’s approach: track what actually happens after you apply
- Application confirmations arrive by email
- Status changes arrive by email
- Interview scheduling arrives by email
- Offer/rejection notifications arrive by email
That’s why JobShinobi’s Pro workflow centers on a unique forwarding email address and email parsing that can create or update your tracked applications.
Use JobShinobi’s Analytics to Improve Your New Grad Funnel
New grads often ask: “Is it my resume, my targeting, or just the market?”
Analytics won’t solve everything—but they will give you clarity.
Response rate (interviews + offers)
If your response rate is low, you can experiment with:
- Different role targets (titles, industries)
- Different resume versions (tailored vs. general)
- Different application channels (company sites vs. job boards)
Offer rate and interview conversion
If you’re getting interviews but not offers, you can focus more on:
- Interview practice
- Stronger project storytelling
- Better alignment between role requirements and your talking points
Monthly trend: are you building momentum?
Seeing your monthly application trend helps you avoid two extremes:
- Applying randomly for a few days, then burning out
- Applying constantly without learning what works
Pricing
JobShinobi offers paid subscriptions via Stripe:
